Getting startedStart using RUE Business
Sign inRUE BusinessChoose companyHome
More details
- Sign in to your own RUE account. Open RUE Business.
- Choose the company you want to work on before adding records or reading figures. Choose a product or date period where the page offers those filters.
- Start with company settings, then add clients and transactions. Use the demo session to practise with sample figures.
What happens next: Home brings together cash, income, spending and items that need attention. Different views and permissions can show different tools.
Good to know: Opening a page does not create a record. Saving, sending and marking paid are separate actions with different effects.
Getting startedUnderstand companies, products and clients
Profile initials (upper right)SettingsCompanies (legal names)Products and services
Max manages the companies. Each company keeps its own clients, products and invoices.
More details
- Treat each legal company as a separate company in RUE. Add its services or goods as products under that company.
- Use Clients for the customers who pay the selected company. A managed company can also be a paying client of an accounting firm, but those are separate relationships.
- For example: Max Accounting Firm can manage Maple Consulting (MAP). Max invoices Maple for bookkeeping; Maple invoices its own consulting customers.
What happens next: Working inside MAP uses Maple’s records, document template and connected business sender. It does not automatically make Max the issuer.
Good to know: Do not combine all managed companies’ turnover into Max’s own income. Max’s own income is its fees and other business income.
Getting startedSet business type, year end and tax details
Profile initials (upper right)SettingsFind companyBusiness type, year end and tax detailsSave now
Replace sample tax IDs before using the account for real business.
More details
- Open Settings and find Companies (legal names). Find the correct company.
- Fill its trading name and Type of business. Set the financial year end.
- Choose Business type for tax and enter that company’s real tax identification and VAT/GST/HST information where applicable.
- Use Save now and check the saved confirmation.
What happens next: RUE uses these details for company comparisons, tax preparation and reporting.
Good to know: SAMPLE-TAX and SAMPLE-GST identifiers in demonstration accounts are fictional. Replace them before using documents for real clients or tax work. Saving tax settings does not submit a tax return.
Getting startedAdd or change products and services
Profile initials (upper right)SettingsProducts and servicesAdd or edit productChoose its companySave now
More details
- Open Settings → Products and services.
- Add the product or service name and assign its legal company. Complete the relevant pricing, currency and agreement defaults.
- Save the settings. Select the product when recording activity or preparing a client agreement.
What happens next: The product appears under its company in the available product filters. Shared overheads can stay at company level.
Good to know: A product is something the company sells or provides. A separate legal company should not be represented only as a product of Max.
Getting startedPractise with the demo session
Switch to demo (above the header)Choose a sample companyTry a featureSwitch back when finished
Demo records are separate. No real emails are delivered from a demo session.
More details
- Use Switch to demo in your account’s available controls. Wait for the demo screen to load.
- Choose a sample company and try its pages, filters and Ask RUE questions. Confirm the screen is showing the demo before practising.
- Switch back to your regular account when finished. Recheck the active company before entering real records.
What happens next: Demo activity is separate from regular company records. The Help Guide remains available in the demo.
Good to know: External connections and real business sender verification are unavailable in a demo session. Demo emails are not delivered. Do not enter real mailbox credentials into a sample account.
ClientsAdd a client
Clients (top menu or bottom bar)Choose companyAdd a clientEnter details and agreed feesSave client
More details
- Open Clients and select the company that the client will pay.
- Expand Add a client. Enter the client’s name, contact details, company, product, currency and agreed payment amounts.
- Check the agreement dates and terms. Enter amounts already paid only when you are recording an actual payment history.
- Press Save client. Check that the saved record appears under the intended company.
What happens next: A client record is created. Saving a client is different from sending an invoice.
Good to know: If Add a client or Save client is missing, your account may have read-only access or a restricted view. Ask the workspace owner for the appropriate permission.
ClientsFind and edit a client
ClientsChoose companyFind clientChange the client’s detailsSave changes
More details
- Open Clients. Select the company and, if needed, the product; apply the filter.
- Tap the client’s name to inspect its agreement, timeline and payment information.
- Expand Change the client’s details. Update the information and save changes.
What happens next: The client’s record is updated within its own company.
Good to know: When several companies have clients with similar names, check the company as well as the name before editing.
ClientsInvite a client to complete their details
ClientsNew-client onboarding formChoose companyEnter client emailAdd client and email them the form
This emails the client a form. Check automatic invoice sending before inviting them.
More details
- Find the new-client onboarding form on Clients.
- Choose the issuing company and enter the intended client’s real email and contact details.
- Press Add client and email them the form only when you want the invitation emailed.
- When they submit the form, inspect the client record and its generated invoice.
What happens next: The client receives a form link. Submission can generate an invoice using the company’s template.
Good to know: Automatic invoice sending, if enabled, can send the newly created invoice. Check the issuing company’s sending choices before starting onboarding.
ClientsFollow up on money a client owes
ClientsChoose companyWho to chase todayWhatsApp or EmailReview messageSend
More details
- Open Clients and apply the correct company filter.
- Review Who to chase today and confirm the amount and client.
- Choose the available WhatsApp or Email option. Read and edit the prepared reminder before sending it.
What happens next: You can follow up using the client’s saved contact details.
Good to know: A prepared message is not proof of delivery or payment. Never chase a client only because a sample or outdated agreement says they owe money.
Invoices and paymentsCreate and send an invoice
Clients (top menu or bottom bar)Choose companyCreate invoice beside clientFill in items and due dateCreate draftSend
If automatic invoice sending is on, Create draft can email the invoice immediately.
More details
- On Clients, use Create invoice beside the customer’s name. Alternatively, open Invoices & receipts and expand the creation form.
- Check the issuing company, client email, currency, due date and each item’s description, quantity and rate.
- Use Add another item for additional goods or services. Remove an extra row when it is not needed.
- Check the company’s automatic sending switch. Create the document. When automatic sending is off, review the draft in the list and press Send when ready.
What happens next: The invoice is saved. Send emails that invoice to the client email saved on the document. It does not charge the client or transfer money.
Good to know: If automatic invoice sending is on, creating a new invoice can email it immediately. Connect an authorised sender to visibly send from the company’s own mailbox.
Invoices and paymentsCreate a receipt
ClientsChoose companyCreate receipt beside clientEnter the actual paymentCreate draftSend
Use Mark paid on an existing invoice to update its payment, client total and receipt together.
More details
- Use Create receipt beside a client or choose Receipt in the document creation form.
- Check the company, client, email and currency. Enter the actual payment and what it covers.
- Create the receipt and review it. Use Send to email it when appropriate.
What happens next: A receipt acknowledges a payment. Creating a standalone receipt does not itself collect money or prove a bank deposit.
Good to know: For an unpaid invoice, use Mark paid instead when you want RUE to link or create the bank transaction, update the client total and generate the receipt together.
Invoices and paymentsRecord payment using Mark paid
ClientsCreate invoice beside clientFind the existing invoice in the document listChoose Bank paymentMark paidYes, send it or Not yet
Confirm the money arrived first. This records payment; it does not move money.
More details
- Find the unpaid invoice in Invoices & receipts. Confirm that the client has actually paid.
- Under Bank payment, leave automatic matching selected or choose the correct existing bank transaction from the list.
- Press Mark paid. RUE matches a suitable existing income transaction or creates a new bank transaction record.
- Check the updated client payment total and generated receipt. Choose Yes, send it or Not yet, unless automatic receipts are enabled.
What happens next: The invoice becomes paid and future invoice reminders stop. The linked transaction, client payment total and receipt are saved together. Repeating the action does not create a second payment.
Good to know: If several transactions could match, RUE asks you to select the correct one. A created record represents the payment you confirmed; Mark paid does not move money or contact a bank to verify receipt. Later imports merge an existing posting when they contain the exact invoice reference.
Invoices and paymentsTurn automatic invoices or receipts on or off
ClientsCreate invoice beside a clientAutomatic sending, by companyChoose the company’s invoice / receipt switchesSave sending choices
Verify this company’s business sender first. Existing drafts are not sent by enabling a switch.
More details
- Open Invoices & receipts → Automatic sending, by company.
- Find the specific issuing company. Connect and verify its business sender in Settings first.
- Choose Automatically send new invoices and/or Automatically send payment receipts.
- Press Save sending choices for that company. Repeat separately for other companies if needed.
What happens next: The choice applies to that company’s newly created documents. Enabling a switch does not send existing drafts.
Good to know: Leave the switches off if you want to decide when each email is sent. If sending fails, the document remains available to send later and the error explains what needs attention.
Invoices and paymentsFind documents and change the page size
ClientsCreate invoice beside a clientScroll to document listChoose company and Documents per pageApply document viewPrevious / Next documents
Choose 1–1,000 documents per page. This does not change the records.
More details
- Open the document list on Invoices & receipts.
- Choose the company and enter Documents per page, from 1 to 1,000.
- Press Apply document view. Use Previous documents or Next documents to move through the results.
What happens next: The heading shows the total matching documents, while the page text says how many are displayed.
Good to know: The old “200 documents” heading referred to the displayed list, not a credit allowance. Changing the page size does not delete or create documents.
Invoices and paymentsChange the invoice or receipt template
ClientsCreate invoice beside a clientYour invoice & receipt template, and auto-sendChoose companyEdit templateSave
More details
- Expand Your invoice & receipt template, and auto-send. Open the intended company.
- Enter the company name, address, tax label, tax rate and footer note.
- Save, then inspect the next document you create.
What happens next: New documents use the saved company template.
Good to know: Existing documents keep the template captured when they were created. A tax registration number in Settings does not automatically select the correct tax rate for every sale; check the document’s tax treatment.
Email and connectionsConnect an authorised business sender
Profile initials (upper right)SettingsAuthorised business email sendersFind companyConnect or change this company’s senderEnter mailbox settingsConnect and send verification codeEnter codeVerify business sender
Use a real mailbox and its app password. The SMTP login must match the From email.
More details
- Open Settings → Authorised business email senders. Find the company, such as Max, Maple Consulting or Oakline.
- Expand Connect or change this company’s sender. Enter the From name and real business email.
- Enter the mailbox’s SMTP server, encrypted port 587 or 465, and app password. The SMTP login is the same address as the From email.
- Press Connect and send verification code. Open that business mailbox, then enter its code in RUE and press Verify business sender.
- Confirm that the company shows Verified sender with the correct address.
What happens next: Company invoices, receipts, reminders, intake emails, client requests and single-company weekly/monthly summaries use that authenticated mailbox.
Good to know: Use a mailbox whose provider supports SMTP authentication. Sample .example addresses cannot be verified. Changing the connection pauses this company’s outgoing mail until verification completes. Passwords are encrypted and never displayed.
Email and connectionsFix emails showing the wrong sender
Profile initials (upper right)SettingsAuthorised business email sendersFind companyCheck Verified sender or reconnect
Reply-to alone does not authorise a From address. Each company needs its own verified connection.
More details
- Check whether the company shows a Verified sender in Settings. A legacy Reply-to email alone does not establish an authorised From address.
- Check the document’s issuing company. A MAP invoice uses Maple’s connected sender, not Max’s sender.
- If the sender is pending, finish verification. If delivery fails, check the provider’s SMTP access and reconnect with a current app password.
What happens next: A connected company sender uses its own mail route, so the site’s default sender settings cannot silently replace its From address.
Good to know: Companies without a connected sender continue to use the existing site mail route. A summary covering multiple companies uses the site sender because it has no single issuing company. SMTP acceptance does not guarantee inbox delivery.
Email and connectionsUnderstand weekly emails and recipients
Profile initials (upper right)TeamFind recipientCheck email and company accessCheck their email preferences
A client email is not a weekly-report recipient account.
More details
- Check the recipient account’s email and email preferences.
- Give the recipient access only to the companies they are meant to see, using Team and the relevant company permissions.
- For a single-company recipient, connect that company’s authorised sender if its summaries should visibly come from its own address.
What happens next: Scheduled summaries follow the recipient’s accessible company scope and email preferences.
Good to know: Adding a client email to the Clients tracker does not create a recipient login or automatically subscribe it to weekly reports. Do not use one shared client login for unrelated companies.
Email and connectionsConnect banks, payment feeds or receipt mailboxes
Profile initials (upper right)ConnectionsChoose serviceFollow its connection instructionsCheck status
Incoming receipt mailboxes and outgoing business senders are separate connections.
More details
- Open Connections and choose the supported connection you need. Some connections are managed by the workspace owner.
- Follow that connection’s own sign-in or configuration instructions. Read the access requested before authorising it.
- Check connection status and the review queue after data arrives.
What happens next: Supported feeds or mailboxes can supply activity for review.
Good to know: A receipt mailbox reads incoming evidence; an authorised business sender sends outgoing email. Connecting one does not automatically connect the other. Availability depends on the service and the site’s configured integrations.
Money and reportsAdd or edit a transaction
Add transaction (gold button)Choose companyEnter date, amount and payment detailsSave
More details
- Choose Add transaction and select the correct company.
- Enter the date, money-in or money-out type, amount, currency, category, counterparty and bank account/reference when known.
- Save and inspect the transaction in the filtered list. To correct a record, open its available edit controls and save the correction.
What happens next: The transaction contributes to the company’s relevant figures.
Good to know: Record the real business event once. If it already came from an import or payment posting, edit or match that record rather than adding the same event again.
Money and reportsUpload a bank statement
TransactionsUpload statementsChoose company and accountUpload fileCheck mappingImportReview results
Check the imported totals against the original statement.
More details
- Open Upload statements from the available Transactions tools or More menu.
- Choose the correct company and statement account. Upload a supported statement file.
- Review the detected columns, dates, currency and opening/closing information where offered. Correct the mapping before importing.
- Check the import result and Reviews for duplicates, unassigned items or other questions.
What happens next: Accepted statement lines become company transactions, with duplicate checks applied.
Good to know: Check the imported totals against the source statement. A matching amount alone is not sufficient evidence that two payments are the same.
Money and reportsReview receipts and matching questions
Transactions (top menu)Needs review beside the transactionOpen receipt photo / documentCheck detailsApprove transaction details
Or open Reviews → Saved transactions and receipt photos. Approval does not add another expense or mark it checked against a bank statement.
More details
- Click Needs review beside a transaction to open that exact item, or open Reviews and expand Saved transactions and receipt photos.
- Use Open receipt photo / document to inspect the saved receipt. Use Edit details if a correction is needed.
- Click Approve transaction details when the saved details are correct. The transaction leaves the waiting list; its photo remains attached.
What happens next: The existing transaction is approved without creating another expense. Checked remains a separate bank-statement comparison.
Good to know: Confirming a receipt match is different from collecting a payment. Keep the source document when it supports tax or accounting records.
Money and reportsRead Home and performance figures
HomeChoose company and periodPerformance Analytics for detailChoose company and productApply company and product
Check the company name and date range beside the figures.
More details
- Choose the company and reporting period before reading the headline figures.
- Use Performance Analytics or Overview/Charts for more detail, and Transactions to inspect the records behind a total.
- Check currency and date labels when comparing companies or periods.
What happens next: You can trace reported income, costs and balances back to recorded activity.
Good to know: Cash, profit and invoices owed measure different things. An invoice draft does not mean cash has arrived, and a bank balance alone is not profit.
Money and reportsExplore forecasts and business decisions
Forecasting (top menu)Company: choose one or All companiesProduct: choose one or All productsApply company and productCheck assumptionsChange the scenario
All companies shows separate company summaries. Choose one company for its full forecast.
More details
- Open Forecasting and choose the company and available period.
- Check the assumptions before changing a scenario, such as income, costs or planned spending.
- Compare the resulting outlook, then inspect the source transactions and assumptions before making a decision.
What happens next: The forecast shows the outcome of its data and assumptions. Cost-benefit decisions provide a separate space to compare proposed choices.
Good to know: Forecasts are estimates. Changing a scenario does not create a bank transaction, order a product or commit money.
Money and reportsPrepare financial statements and tax information
Financial statements (top menu)Choose company and periodReview figuresPrepare or export report
For tax preparation, open Tax centre. Exporting a report does not file a return.
More details
- Open Financial statements. Select the intended company and reporting period.
- Review categories, foreign-currency treatment and unresolved items before preparing or exporting the available report.
- Use Tax centre for the company’s tax information, filing guidance and reminders. Check the business type and year end in Settings.
What happens next: RUE helps organise recorded figures for review and preparation.
Good to know: Exporting a report or marking a reminder done does not submit a tax return, pay tax or certify that records are complete. Have the responsible person review real filings.
Money and reportsUse goals, payroll, sales and supporting records
Choose a tool in the top menu or MoreSelect companyAdd or review its recordsSave changes
More details
- Use Goals to add a task, due date and status, then mark it done when finished.
- Use Sales insights for sales information and Menu costs where you manage recipes or ingredient costs.
- Use Payroll (Canada) for the available payroll records, Mileage for journeys, and Company documents for files you are permitted to access.
- Use Activity history to review recorded changes when your role allows it.
What happens next: These tools keep related business work alongside the company’s books.
Good to know: Available pages depend on your role, company access and configured services. Recording a payroll entry is not the same as paying an employee or submitting a government filing.
Ask RUEAsk useful questions and understand credits
Choose company / product on the pageApply the filter (if shown)Ask RUE (lower right)Type your question and periodCheck the named company in the reply
You can also name the company in your question. Say “all companies” for separate results.
More details
- Open Ask RUE and select the company or product you want to discuss.
- Give a clear question and time period, such as “For Oakline, what were the largest expenses in the last 12 months?”
- Read the company, date and currency context in the answer. Compare material amounts with Transactions or the relevant report.
- Check your displayed credit balance and use the available credit controls if more credits are needed. The site administrator can manage credit allocations.
What happens next: Ask RUE uses the company data and available AI service to explain figures and help you explore decisions.
Good to know: The workspace owner’s credit balance can support work across its managed companies. A company’s transaction balance is not its AI credit balance. Sample data produces sample insights; credits are still a separate allowance.
Ask RUEExplore cheaper alternatives to recurring spending
Choose company on the pageApply the filter (if shown)Ask RUE (lower right)Ask: Which recurring tools could we replace to reduce spending?Compare suggestions
More details
- Choose the company and ask which recurring costs or frequent suppliers deserve review.
- Ask RUE to suggest alternatives and explain which recorded spending patterns prompted each suggestion.
- Compare the required features, contract terms, migration effort and current provider prices before acting.
What happens next: You get a starting point for a spending review, based on the available records and service capabilities.
Good to know: A suggestion does not cancel a subscription, switch a supplier or verify a live quote. Confirm current prices and suitability directly before purchasing or changing a service.
Account and troubleshootingGive a colleague or company recipient access
Profile initials (upper right)TeamAdd a personSet view and company accessAdd and send the sign-in email
For a client, restrict access to their company and permitted tabs. Leave Can switch views off; do not grant an unrestricted owner view.
More details
- As the owner, open Team.
- Add or invite the intended person using their own email. Choose the appropriate view, editing level and company access.
- Review the permitted pages and company restrictions. Save or send the invitation using the available controls.
What happens next: The person gets the access you configured, within the workspace.
Good to know: A company filter changes what you are looking at; a permission restriction controls what the person is allowed to access. Do not rely on a filter as a security boundary.
Account and troubleshootingUse face or fingerprint sign-in
Profile initials (upper right)My profileSign-in and securityAdd face or fingerprint sign-in on this deviceFollow your device prompt
Text-message codes require the site’s text service to be connected.
More details
- Open My profile → Sign-in and security on your own phone or computer.
- Under Face or fingerprint (passkeys), choose Add face or fingerprint sign-in on this device.
- Complete the device’s Face ID, Touch ID, fingerprint, Windows Hello or device PIN prompt. Repeat on another device if needed.
What happens next: The saved passkey can be used through the device or password manager that holds it.
Good to know: RUE does not receive your face or fingerprint. Text-message sign-in codes require the site’s text service to be configured; a disabled text-message option cannot be enabled by clicking it repeatedly.
Account and troubleshootingUse Personal and Business separately
Switch to Personal (top bar)Choose a personal-money featureSwitch back to Business for company work
Check which app and company you are in before saving a transaction.
More details
- Use Switch to Personal when you want to work on your own or household money.
- In RUE Personal, use its available spending, budget, bills and goal tools. Return to Business for company records.
- Check the current app and company before adding a transaction. Use the Business and personal tool for records that need an explicit split.
What happens next: You can work with personal and business information in their respective parts of RUE.
Good to know: Switching apps does not make a personal purchase a company expense. Record the correct owner and business purpose for each event.
Invoices and paymentsCreate, upload and convert a quote
Add transaction (top button or bottom +)Create a quoteChoose company and clientFill details or upload and Read quoteReviewCreate draft
Once accepted: tick Client has accepted this quote → Convert to draft invoice → Review → Send.
More details
- Clients → Create quote beside the client → Fill or upload a quote → Read quote → Review lines and tax → Create draft.
- Download PDF or Send. Once accepted: tick Client has accepted this quote → Convert to draft invoice → Review → Send.
What happens next: The quote stays linked to one draft invoice. Conversion does not post a bank transaction.
Good to know: Uploaded quotes are read using AI. Review amounts and tax before saving. Conversion creates a draft even when automatic invoice sending is on.
